COMPARISON / TROUBLESHOOTING NOTES

ONENOTE ยท SOLVESTACK

OneNote vs SolveStack for IT troubleshooting notes

Short answer: use OneNote when a team needs shared notes on many devices. Use SolveStack when one engineer wants a structured, private record of a single investigation that exports as Markdown, HTML, JSON, or ZIP. They solve different problems, and many teams can use both.

TopicOneNoteSolveStack
Best forNotebooks that a group fills in together, such as a brainstorming session or a group project. (source)One session per technical investigation, kept by the person working it.
Working with othersShare a whole notebook with edit or view access. People can work in it at the same time, see who did what, and revert a page to an earlier version. (source, source)No sharing or sync. One browser profile holds the data. You share by exporting a file.
Where data livesTo share a notebook it must be saved in OneDrive or a SharePoint site. Local notebooks are listed for OneNote on Windows only. (source, source)IndexedDB in the current browser profile. No account and no SolveStack server for core data.
DevicesDesktop, web, and mobile apps can work on the same shared notebook. (source)Any modern browser. Works offline after the first load as a progressive web app. Data does not move between devices unless you export and import it.
StructureNotebooks made of sections and pages. (source)Fixed record: timestamped entries by type (note, observation, action, evidence, hypothesis, result, decision, resolution), hypotheses with a status and reasoning, tasks, current focus, scratchpad, and root cause, fix, validation, and prevention fields. Hypotheses can be marked Ruled Out with a reason, and exports list them in their own Ruled Out section.
ExportOneNote for Windows exports a page, section, or notebook to formats including PDF, Word, and OneNote section files. OneNote for the web exports pages to PDF; whole-notebook export from the web works only for notebooks on personal OneDrive accounts, not work or school OneDrive or SharePoint. (source, source)Knowledge Markdown, RCA Markdown, JSON, standalone HTML, and a ZIP package per session, plus a full JSON backup and JSON import.
RecoveryOneNote for Windows keeps automatic backups (daily by default, kept 2 weeks) and a recycle bin that keeps deleted notes for 60 days. (source)Your exported backups. Clearing browser site data can remove the local workspace.
CostMicrosoft lists OneNote among the apps in its Microsoft 365 Business Standard and Business Premium with Copilot plans. (Microsoft 365 plans)Free. No account.

OneNote is the better fit when

  • Several people need to edit the same notes at the same time.
  • You need the notes on desktop, web, and mobile.
  • Your team already keeps runbooks and handover notes in shared notebooks.
  • You want built-in page history and a recycle bin.

SolveStack is the better fit when

  • One person is working a problem that spans many tests, causes, and pieces of evidence.
  • You want ruled-out causes kept with the reason.
  • You want root cause, fix, validation, and prevention captured before the ticket closes.
  • You do not want an account or a cloud copy of raw notes.
  • You want a Markdown or HTML file to drop into your existing knowledge base.

Know the limits

  • SolveStack has no sharing, sync, or co-authoring.
  • Its data lives in one browser profile. Clearing site data can remove it, so export backups.
  • Attachments are limited to 10 MB each.
  • It is not a ticketing system, an incident-management platform, a cloud knowledge base, or an AI assistant.

The sample is invented, not a real incident. The Markdown file was produced by SolveStack's own Knowledge MD export from the sample session JSON. You can import the JSON in SolveStack under Settings, Import JSON.

EXCERPT FROM SAMPLE-KNOWLEDGE.MD

## Root Cause
The branch VPN tunnel used a 1500 byte MTU, so larger DNS replies were fragmented and the branch firewall dropped the fragments.

## Resolution
Set the branch VPN interface MTU to 1400.

## Validation
50 of 50 test lookups succeeded after the change, and no timeouts were reported the next day.

## Prevention
Add the MTU value to the branch VPN build checklist and review other branches.

Is SolveStack a OneNote replacement?

No. OneNote is a general notebook for teams and devices. SolveStack is a single-person workspace for one technical investigation at a time. Many IT teams can use both: SolveStack while the problem is open, and a shared notebook or knowledge base for the finished write-up.

When is OneNote the better choice for troubleshooting notes?

When several people need to edit the same notes at the same time, when you need the notes on several devices, or when your team already keeps runbooks in shared notebooks. OneNote supports shared notebooks stored in OneDrive or SharePoint, with edit or view permissions.

When is SolveStack the better choice?

When one engineer wants a structured record of a single problem: timestamped entries by type, hypotheses marked as ruled out with the reason, and a root cause, fix, validation, and prevention, exported as Markdown, HTML, JSON, or ZIP. The data stays in that browser and no account is needed.

Can SolveStack share or sync notes between people?

No. SolveStack stores data in IndexedDB in one browser profile. To move or share a record, you export it as a file. Clearing browser data can remove it, so export backups.

Can I move SolveStack exports into OneNote?

SolveStack exports Markdown and standalone HTML files. You can store those files wherever your team keeps documentation. This page does not claim any specific OneNote import path.

Is the sample export a real incident?

No. It is an invented example, created to show what a SolveStack export contains. The Markdown file was produced by SolveStack's own Knowledge MD export from the sample JSON.
